In my roles over the years, efficiency has always been a necessity. More importantly, in the delivery of administration tasks myself and the team around me have executed. For me, the efficiency of administration is at the heart of the business and significantly impacts how well a business operates.
As a Marketing Admin Manager, I play a pivotal role in office tasks running smoothly, objectives being met within deadlines and resources being utilised the best they can be. Whether you’re overseeing a small office or managing a large team, if you execute your administration effectively and develop a strategic approach in doing so, it WILL impact the overall success of your business.
In this blog I cover my 3 key strategies for Admin Managers to enhance your role and maximise your skillset!
Planning
Admin managers should develop plans that outline short-term and long-term goals. By establishing clear objectives and timelines, teams can align their efforts towards common goals that coincide with their admin tasks. With planning, you will naturally develop a strategic approach with time management, creating routines and prioritising tasks.
Top tips:
- Utilizing tools such as Gantt charts or project management software can facilitate the planning process of a project – even just simply organising your emails into categories really does help with making sure they have all been actioned.
- Breaking down larger objectives into smaller, actionable tasks enables you to understand roles and responsibilities, identify priorities, distinguishing them between urgent and important.
- Implementing automation tools for repetitive tasks, such as email templates and task automation software can further streamline operations and free up time for more value-added activities.
- Developing procedural manuals, and providing training to ensure that team members understand their roles and responsibilities.
The best planning tool for me is a simple to do list. EVERYTHING goes onto there – then I can prioritise my tasks.
Communication
Obviously, we all know that communication is important but it’s also how we can communicate with our co-workers, managers, clients or stakeholders.
Effective communication approaches such as Team Building and keeping colleagues updated with important key messages are essential for administrative managers in encouraging consistency, efficiency, and productivity within teams. Top Tips:
- Adopting an open-door policy encourages clear dialogue, enabling staff to voice concerns and share ideas freely- Employing active listening skills fosters understanding and empathy, crucial for resolving conflicts and addressing individual needs.
- Prioritising team building activities to strengthen relationships and foster a positive work environment – especially outside of working hours, it gives everyone time to relax and have fun, the team here absolutely love our regular Superfly Socials!
- Utilising various communication channels such as emails, meetings, and digital platforms ensures information is comprehensive and accessible to all members.
- Feedback sessions provide opportunities for constructive criticism and performance evaluation, encouraging employee development.
Evaluations & Monitoring
Admin managers often employ key performance indicators (KPIs) to measure progress towards organisational goals and track performance metrics. Regular evaluations allow managers to identify strengths, weaknesses, and opportunities for growth within their administrative functions. This ultimately impacts the overall success of the business. Implementing monitoring systems enables managers to proactively identify issues before they escalate, fostering a culture of continuous improvement.
Top Tips:
- Documenting best practices. Regularly reviewing these based on feedback and performance metrics enables continuous improvement and adaptability.
- Adjusting objectives based on performance metrics ensures that efforts remain focused and aligned with strategic priorities.
- Prepare budget forecasts to set goals for the future and measure current financial performance whether that’s for the company or your team.
Hopefully this has given you food for thought when delivering your day-to-day admin tasks within your team!
